Here is that I say in a separate letter attached to, the contract: Attached is a contract as requested which confirms our agreement concerning the servicing schedule of the church pianos. Please check the piano information and schedule that is listed and write in any corrections or changes according to your preference. On the contract, I have also listed the terms we have agreed upon. If the contract is agreeable to you, please signify your acceptance of this arrangement by affixing the signature of the person or persons responsible for the pianos on both copies attached (one for their record, one for mine) and return a copy to me. If you should need service in between the scheduled times, just call me. Maintaining a regular tuning schedule will help prevent costly damage and prolong the lives of the pianos. This contract will also serve the purpose of relieving the ever-changing music committee of determining each year when the pianos were tuned last and who should be called. I would like to obtain a church key, if possible. I have many church keys which eliminates having to make sure someone has the door open on a specific day and time. It also insures that I will not have a wasted appointment should someone forget and will eliminate an additional cost to you should this take place. With this contract/key set-up, I would come on an automatic basis. I would simply clear my appointments, if necessary, with the church secretary or a specified person to make sure there are no conflicts, and then let myself in. Would you please attach a note with the name and phone number of the person, if anyone, thru whom I should clear my appointments and your arrangements concerning a key. Thank you for your consideration of this matter. I have enjoyed servicing your church pianos these past years and I anticipate a continuance of our business relationship. You will receive a 10 % discount off the price of the tunings IF 2 or more pianos are scheduled and tuned in one day. 4. In the case that I am not granted a key and the building is locked for a scheduled appointment, I reserve the right to charge for a failed appointment. And last, but not least, you want an escape clause that allows you to discontinue tuning their pianos, and allows them to stop using you to tune. This is important. You don't want to be beholden to them if they are not providing you with a quiet room or sanctuary, or that they pay you in 3 months instead of 14 days, or that they got a couple more pianos that are not tunable. And you want to the church to cancel the contract if they feel they are not getting the kind of service they thought they were getting. Both cancellations need to be in writing, giving several weeks notice.
