scheduling work

I'm wondering how you all manage requests for concert prepara-
tion.  Here IWU, I have a regularly scheduled time, 4 hours, to
work in our concert hall.  Then, as needed, I'll schedule more
time or just sneak in to tweak some unisons.  Generally, the
pianos stay in reasonbly good shape, except if the heating or
cooling system goes bonkers.  In addition, there is a form to
be filled out for every performance indicating which instru-
ments(s) will be used with a warning included that if I'm not
given enough notice, performance could be risky.  One would
think that this would be enough--the performers have to fill
out this form when reserving the concert hall or other perfor-
mance areas--but I have found that I also have to be somewhat of
a mind reader and call ensemble directors, in particular, to
find out their plans.  I've reached the point that at the be-
ginning of the semester I call the theater personnel, orchestra
conductors, etc. to see if they'll be needing my services.
Still, every once in a while (last night, at an off-campus
site) something slips through and people turn and look at me
with raised eye-brows and I shrug my shoulders, shake my head
and say "I have to be informed of these things."

Any ideas?  I there a better system?

That is, Is there a better system.  I wish I had a better
e-mail system that would make correcting things easier.
