I've tried living in that idealistic world where everyone plans ahead and thinks of the piano first, but regardless of any "system" or "policy" the only thing that works is to be the mind reader. My most reliable contacts in anticipating upcoming tuning needs are the music office secretary and the accompanists. They usually seem to know more about whats coming than anyone else.
