I second the support for index cards.  We have Time and Chaos, and it works well, except for one huge problem.  Some client scheduling programs will keep the contact rolling over until it is dealt with.  But with T&C, if you fail to make contact with the client when they come due or make a contact which doesn't result in an appointment, you must remember to reschedule the prospect for later contact or the program will forget it exists.  You also must remember which clients are on a 1x, 2x, 4x/year, etc., basis.  The program will not remember this for you.  Index cards don't have this flaw.  Although there is a limit to how much information one can store on an index card, as long as that index card is at the front of the deck, it will not move until you move it.
  
Another problem.  When our computer died, so did the data base.  My index cards are still sitting right there in their boxes, dating back 25 years.  I've never seen an index card get accidentally erased.
  
I did find that it was necessary to keep two files of index cards, however.  One in alphabetical order and the other in chronological order.  So, no system reduces much work.

I find that there is something out there that works great. It's called an index card. I tried various things on the computer and I found that it is actually easier, and in many cases faster to look through index cards. I keep one card for each piano and the room that it is in for both of the universities that I work for as well as schools and churches. I know that it sounds old fashioned, but it works. We have had discussions about this in our Guild chapter and have found that there are others who went back from the computer to index cards.

I’ve been using ACT, but it is limiting to how many pianos per entry and have to scroll thru the multi entries to figure out what each piano has had for work.  However, it sync’s up with a palm pilot for easy access when away from the office.
Now that I’m getting more schools with a lot more pianos, I need to rethink it all.  Love to hear your ideas.
