Got ‘cha! With either Access or many database packages you can have the data files on a server that is available to anyone on campus (who knows it’s there) who has the database software on their computer. I can even VPN to that server from home and since I have Access on my home computer also, I can access the records. Check with your Information Technology people and I’m sure they can fix you up. If you need to tighten down for security, you can password protect the data file. dave David M. Hi Dave, Thank you for your feedback. Good question–let me clarify what I mean by "everyone": those of us who have direct contact with the pianos (techs, the director, possibly faculty). Not the general public, or even the general College. Our main issue is that we have 2 techs, no office, no dedicated computer to work from, and are trying to create a way where we can quickly & easily update the piano info instead of sending our notes to someone who then has to put them into a system. Historically, 1 tech has kept hand-written notes on all of the pianos. This system is no longer working. The only program I've used in the past is Filemaker, which is great, but needs to be used from one computer. . . For several years I’ve used Access for my piano records at SMU and I have the data file on a server on campus that is accessible to anyone there. It can also be seen outside if one uses a campus VPN. I haven’t seen the value in posting it for general consumption. They are our pianos and our data so I see no need to share that with outsiders. Hi everyone, I am wondering if anyone is using / has developed a web-based record keeping system for all of the pianos maintained at your University / College. We, at Kalamazoo College, are in the nascent stages of trying to develop a system that multiple users can access / make notes on / read piano updates while the main purpose is to keep our notes on every piano (tuning, repairs, etc.) and continually update these files. Any suggestions or sharing of the system you use at your school would be most helpful.
