I created a template in Word the I use for invoicing and all invoices are emailed as PDF files. That allows me to store them in my computer in chronological order which is much easier. They are number by the year and date so January 1, 2010 would be 20100101. That keeps them in chronological order. If I have more than one on a given date then they get an a,b,c,d added. If I have a taxable sale I print it out and put it in my taxable receipts file for SBOE. I have a few leftover carbonless duplicate invoices that I use when I can't email them one for some reason-rarely use them. The invoice format is simple. My name and address as the header. Place for date, customer name, piano, make, serial number. Description of services and amount for totals. I've attached one. Bottom cells above the total are for things like sales tax and shipping where applicable. Do you use an online vendor, local print shop or do you create your own forms? What are the important terms of service to include on the form? Do you put them on the back or bottom of the form? I'd love to avoid duplicate data entry (on the form onsite, then into the computer later) but the advantage of leaving the client a paper copy of the invoice (or quote for future work) seems to trump other methods.
